EXECUTIVE SUMMARY
The Council adopts its meeting timetable on an annual basis. This enables the community to be
aware of when Council meetings are scheduled and for staff to develop timetables for preparing
agendas for those meetings. This report puts forward for adoption the proposed timetable for 2023.
RECOMMENDATION
That Council note the report by the Chief Executive Officer to the General Committee Meeting
dated 14 November 2022 and approve the Council Meeting dates for 2023 as set out in Attachment
1 to the Report.
REPORT
At the Ordinary Meeting on 30 April 2020, Council adopted its Council meeting structure
incorporating three Standing Committees and an Ordinary meeting.
In consultation with the Mayor and Councillors, no changes have been proposed to these existing
arrangements at this stage, however the timing of the General Committee will change to
commence at 12.30pm. This will allow for further consultation and assistance prior to the
Committee Meeting. Council may further consider changes to the committee system in March
2023.
A draft Council Meeting Schedule for 2023 has been prepared for Council’s consideration (refer to
Attachment 1).
As per previous years, the first meeting round of the year (January) will only consist of a General
Committee Meeting (16 January) and an Ordinary Meeting (19 January). As a result Council will
not have a Planning & Environment Committee or Services & Organisation Committee meeting in
January. This is due to the timing of report deadlines conflicting with the Christmas/New Year
period and the availability of staff over this time. The agenda for the January meetings will be
managed to meet the workload.
Internal Agenda Workshops
The day prior to Planning & Environment Committee and Services & Organisation Committee
Agenda delivery, Council Officers will facilitate an internal workshop with Councillors. This is
designed for Council Officers to discuss the upcoming monthly agenda with the Council. The
workshop is not a decision making forum and is designed to assist Councillors and Council Officers
to work more closely together in the provision of information prior to agenda release.
