EXECUTIVE SUMMARY
This report is for Council to confirm the continuation of Standing Committees as part of its decision making
process and the adoption of a meeting timetable for the remainder of the calendar year until 31 December
2024.
RECOMMENDATION
That Council note the report by the Chief Executive Officer (Acting) to the Ordinary Meeting dated
16 May 2024 and approve the Council Meeting dates for the remainder of 2024 (July-December) as
set out in Attachment 1 to the Report.
REPORT
At the Post Election Meeting on 8 April 2024 Council adopted its Council Meeting structure
incorporating three Standing Committees and an Ordinary meeting until 30 June 2024. Part of the
adopted resolution called for Council to "Prepare a report to Council with potential revised meeting
structure from 1 July 2024 to be presented in next available meeting round".
Following several workshop sessions on potential alternative options, and in consultation with the
Executive Team, the Mayor and Councillors concluded that no changes have been proposed to
these existing arrangements at this stage. This Council boasts a robust track record of thoughtful
decision-making and believes that this current committee structure greatly benefits all Councillors,
particulary the new Councillors by ensuring they are thoroughly informed throughout this multifaceted
process.
The Council will however, adjust the commencement time of the Ordinary Meeting from 5pm to
10am. This change aims to accommodate the presence of essential staff during regular business
hours while preventing late evening sessions for both staff and Councillors, thereby promoting a
sustainable work-life balance.
Council will review after 6 months to gauge the effectiveness of this structure with any possible
changes to be made for 2025 should this be deemed necessary.
A draft Council Meeting Schedule for July-December of 2024 has been prepared for Council’s
consideration (refer to Attachment 1).
Internal Agenda Briefings will continue as follows:
The day prior to Planning & Environment Committee and Services & Organisation Committee
Agenda delivery, Council Officers will facilitate an internal workshop with Councillors. This is
designed for Council Officers to discuss the upcoming monthly agenda with the Council. The
workshop is not a decision making forum and is designed to assist Councillors and Council Officers
to work more closely together in the provision of information prior to agenda release.
