1.7 Complaints Procedure
The SEO will receive and record all complaints during the construction phase. The SEO will be
(unless otherwise nominated) the initial point of contact. The contact details of this nominee will be
made available to the public during construction by means of a sign placed in a clearly visible
location near the main access point to the site.
The SEO will establish a Complaints and Incidents Register and all legitimate and verifiable
complaints received will be investigated and logged into the Register, recording:
• date, time and method of complaint (e.g. phone, personal contact, letter);
• complainant details (name, address and contact details);
• nature of complaint;
• response initiated; and
• action taken.
The objective is to process complaints as quickly as possible and in a consultative manner. The
complainant should be advised within 48 hours of the status of the investigation and the time frame
for resolution. Procedures are to be documented in a Incident/ Community Feedback Form.
Significant complaints will be reported to Council’s nominated person. All complaints will be noted
and included in monthly reports. The SEO is to prepare a Complaints and Incidents Register prior to
the commencement of construction.
