RECOMMENDATION
That Council note the report by the Administration Officer Executive to the Planning &
Organisation Committee Meeting dated 17 June 2014 and repeal the existing Councillors’
Expenses Reimbursement Policy and adopt the amended Councillors’ Expenses Reimbursement
Policy as shown at Attachment 1 to the report.
REPORT
At its first Ordinary Meeting on 2 January 2014, Council adopted a Councillor’s Expenses
Reimbursement Policy. This policy outlines the parameters by which Councillors are to be
reimbursed for certain expenses incurred in the performance of their roles.
Section 4 of the attached Policy details the conditions and amounts by which Councillors will be
reimbursed for the use of their private vehicle for Council business. The Mayor has requested
that the policy be amended to exclude any financial reimbursement being paid to the Mayor
under this section.
It is suggested that this section be amended to read as follows:
4 PRIVATE VEHICLE USAGE
The use of a Councillor’s private vehicle for Council business (as defined) will be reimbursed by
Council. The Mayor will not receive any financial reimbursement for private vehicle use.
Councillors (excluding the Mayor) may elect one of two options regarding this reimbursement.
Option 1
Councillors accept an annual payment of $5,000 as reimbursement for the use of their private
vehicles on Council business.
Option 2
Councillors may make a monthly claim for reimbursement of use of their private vehicles on
Council business by submitting the appropriate form detailing the relevant travel based on log
book details.
