PLANNING & ORGANISATION COMMITTEE MEETING AGENDA                                            8 DECEMBER 2015


Council adopted a Sole Supplier list and a Specialised Supplier list in April 2014. The
adoption of these updated lists will allow Council to engage with these sole and specialised
suppliers in a more timely and effective manner than if inviting quotes or tenders.

Previous Council Consideration

Ordinary Meeting Minutes, 3 April 2014, Item 8, Page 8
That Council note the report by the Procurement Officer to the Planning & Organisation
Committee dated 25 March 2014 and:
A.      Adopt the Sole Supplier List shown as Attachment 1 to the report with the deletion of
        the provision of Local Public Bus Advertising by Gotransit Media Group Pty Ltd; and
B.      Adopt the Specialised Supplier List shown as Attachment 2 to the report.

Finance & Risk

There is a risk associated with legislative compliance, should Council not resolve to create
the listings and subsequently fails to undertake the quote or tender process. Establishing the
Sole Supplier list reduces Council’s risk of breaching regulations relating to establishing
medium and large sized contracts.

Internal Consultation

The existing Sole Supplier list was distributed to all Departments and Sections for review.
Those suppliers no longer relevant for use by Council were removed and a small number of
new suppliers were assessed as meeting the definition of sole or specialised and were
added to the lists.
