Workers must agree to the proposed process of communication and consultation. This agreement is to be
documented on a tool box talk IMS-05-52 and signed by all attending workers at the start-up of the project and
if changes are made to the agreed process during the project.

Project Inductions

All workers must have completed the online General Workplace Induction, through Rapid Global. The Foreman
or a nominated person will then ensure the worker has completed the online induction, by searching for the
inductee on the system, and checking the inductee has uploaded the required documents. The foreman or
WHSE Advisors will then take the worker through the site-specific induction process.

The process provides workers with information regarding this WMP, site rules, emergency evacuation
procedures, hazards, and individual obligations and responsibilities. Evidence that workers have undertaken an
induction is documented on Shadforth Project Induction Form IMS-05-35, in addition, all inducted workers are
registered on the Project Induction Register Form IMS-05-36, these forms are contained in the PCP.

Personnel visiting site but not undertaking works are classified as visitors, whilst on site visitors must be
accompanied by Shadforth Foreman or another person who has undertaken an induction. All visitors should
report to the site office on arrival and sign the Project Visitors Register Form IMS-05-43. Upon leaving the site
the visitor must sign the register acknowledging they have left site.

Toolbox Talks (TBT’s)

TBT’s are conducted by the Foreman with the involvement of all workers. The Foreman conducts a TBT if an
incident occurs, a safety alert is issued, a hazard is identified that needs communicating, a dangerous activity
is taking place, or workers deem one is required. Evidence of TBT’s having been undertaken is recorded on
Shadforth Toolbox Talk Form IMS-05-52. A register of all TBT’s conducted on the project is maintained on
Shadforth Project Toolbox Talk Register Form IMS-05-42.

Project Training Sessions

Project training sessions are held by the WHSE Advisor if a need is identified. These training sessions give
workers the opportunity to communicate and consult regarding the training content. Shadforth training papers
are used when conducting training. Records of training are dealt with by Shadforth Human Resource department

Senior Management Observations

Senior Management observations are conducted if a need has arisen on this project. These observations give
workers an opportunity to communicate and consult with Senior Managers. Observations are conducted monthly
through the use the Senior Management Observation Form IMS-05-77 through Iauditor.

Community / Stakeholders Communication and Consultation

Shadforth acknowledges the need to work with the client and superintendent, to ensure timely delivery of
communication and engagement activities to ensure minimal impact on the community. Shadforth will liaise with
stakeholders including neighbouring businesses / residents in accordance with client or contractual
requirements. Where Shadforth are primarily responsible for community / stakeholder communication and
consultation, a Community Communications Plan may be established for the project.
